Using Generative AI in HR + Free AI Usage Policy

Like everyone, our team at Reverb has been experimenting over the last several months with ChatGPT and other generative AI tools, looking for creative and practical ways they can help us work smarter. As a coach, I experimented with Briefly during live 360 feedback interviews. Not taking notes allowed me to be 100% focused on the conversation. I even used a prompt to get a summary of strengths and development areas that I could include in the final report. 

 

As an HR consulting firm, we’ve been looking into using AI in a couple different ways. 

 

  1. Finding ways to streamline internal business processes. Though the tools are new and evolving, we find they still save time and effort so long as you’re patient and willing to double-check their work / add a personal touch. 
  2. Leveraging AI to speed up common HR tasks like writing job descriptions, and creating HR processes and policies. 

 

Here are practical examples of both. 

 

Internal Operations

Our staff team has been experimenting with AI tools and most of us have found AI helpful in our day-to-day roles and responsibilities. It’s not replacing our job duties but instead accelerating those duties. By leveraging AI to support things like scheduling, note-taking, and content creation, we’re able to focus more on the steps that come after that!

Scheduling Meetings

As a services firm, we schedule plenty of internal and external meetings. Note Taking and Proposal Writing

Content Creation

It immediately raised questions about accuracy, privacy and security. Pro tip: As a starting point, use trusted sources, verify facts, personalize and customize content.

Summarizing Data 

At Reverb, we collect customer and stakeholder feedback in every opportunity we can. Feedback from our clients drives the decisions we make and shapes the way we deliver our services. Oftentimes, we have more data to analyze than we have time for. AI has helped us take large segments of feedback and summarize themes and trends, or generate quick stats from those data sets. One guideline we follow to maintain privacy and data security is to remove the company name and any client names before feeding anything to an AI prompt.

 

HR / People & Culture Work

AI is helpful in starting drafts of job descriptions, policies, and new processes. Just remember to use a discerning eye and edit as needed to fit your company’s tone and culture. It’s always a good idea to evaluate security and compliance within the AI tool you are using.

While AI tools don’t remove the need for human effort and attention, they can significantly reduce the time and energy you spend, particularly on repetitive tasks. It used to be that starting was the hardest part, but that’s no longer true when you can ask AI to write a job description or policy from scratch. Just remember to watch out for security concerns, fact check, and personalize.
